Privacy Policy

This Privacy Policy explains how Kalendeo collects, uses, shares, and protects personal data when you use our website, marketing pages, and booking software.

Effective date: June 27, 2026

Key points

  • We use your information to provide booking, scheduling, billing, support, and security features.
  • We do not sell your personal data.
  • Businesses using Kalendeo remain responsible for the customer information they collect through their own booking flows.

Who this policy applies to

This policy applies to visitors of the Kalendeo website, people who create or use a Kalendeo account, and end customers whose information is processed through the service by a business using Kalendeo.

When one of our business customers uses Kalendeo to collect booking details from its own clients, that business controls the customer relationship and Kalendeo generally acts as a service provider or processor on the business customer's behalf.

Information we collect

The information we collect depends on how you interact with Kalendeo.

  • Account and business details, such as your name, email address, password, business name, business type, and subscription status.
  • Booking and customer data, such as appointment details, services, staff assignments, notes, and customer contact information you choose to store in the product.
  • Technical and usage information, such as IP address, browser type, device information, referral data, pages visited, and product activity logs.
  • Payment and transaction information provided by our payment processors, excluding full payment card numbers when those are handled directly by the processor.
  • Support and communications data when you contact us or interact with onboarding, service, or marketing emails.

How we use information

We use personal data only where we have a valid reason to do so and only for purposes connected to operating and improving Kalendeo.

  • To create accounts and authenticate users.
  • To provide booking, scheduling, reminders, dashboard, and related product functionality.
  • To process subscriptions, invoices, refunds, and fraud checks.
  • To maintain security, prevent abuse, investigate incidents, and enforce our terms.
  • To respond to support requests and send service notices.
  • To understand product usage, improve performance, and develop new features.

Legal bases for processing

Where the GDPR or similar laws apply, we generally rely on one or more of the following legal bases.

  • Performance of a contract when we provide the service you requested.
  • Legitimate interests, such as securing the platform, improving reliability, and preventing misuse.
  • Consent where required, such as for certain marketing communications or non-essential cookies.
  • Compliance with legal obligations, including accounting, tax, and law-enforcement requests.

How we share information

We share personal data only where necessary to run Kalendeo or where we are legally required to do so.

  • With infrastructure, analytics, support, authentication, hosting, and payment providers that process data for us under appropriate safeguards.
  • With integrations you choose to connect, such as calendar or communication providers, based on your instructions.
  • With authorities, advisors, or counterparties when required for legal compliance, dispute resolution, or the protection of rights and safety.
  • As part of a merger, acquisition, restructuring, or asset sale, subject to appropriate confidentiality and transfer safeguards.

Data retention

We keep personal data for as long as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements.

Retention periods depend on the type of data, your subscription status, and whether the data is needed for security, tax, accounting, or backup purposes. When data is no longer required, we delete it or de-identify it where practical.

International transfers and security

Kalendeo may use service providers in more than one country. When personal data is transferred across borders, we use contractual, technical, and organizational safeguards appropriate to the transfer.

We use reasonable administrative, technical, and physical measures to protect personal data. No system is completely secure, so we cannot guarantee absolute security.

Your rights and choices

Depending on where you live, you may have rights over your personal data.

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete information.
  • Request deletion of information, subject to legal or operational exceptions.
  • Object to or restrict certain processing.
  • Request a portable copy of information you provided to us.
  • Withdraw consent where processing depends on consent.

Cookies and analytics

We use cookies and similar technologies to keep the website working, remember language or session preferences, measure performance, and understand how visitors use the site.

Where required by law, we will ask for consent before using non-essential cookies or similar technologies.

Changes and contact

We may update this Privacy Policy from time to time to reflect product, legal, or operational changes. When we make material changes, we will update the effective date and may provide additional notice inside the product or on the website.

If you have questions about this policy or want to exercise a privacy right, contact Kalendeo through the support or account channels made available to you.
